Kastech's PeopleSoft Practice team was engaged for a nine-month PeopleSoft Asset Lifecycle Management (ALM) engagement covering Lease Administration and Asset Management for a leading academic medical center.

Client Background

The client is one of the nation's premier academic medical centers, a healthcare provider based in Manhattan with additional facilities across the five boroughs of New York City. Founded in 1965, it operates 250 medical facilities and offices and employs approximately 35,000 people. It initially implemented PeopleSoft v9.0, which went live in September 2010, and upgraded to v9.2 in 2015.

Business Challenges

The client’s Real Estate Department manages the site selection and lease payment process and has a portfolio of over 350 real estate leases.

  • Though the client was principally using PeopleSoft, the Real Estate Department was still using various third-party systems to manage its site selection, approval, and payment processes
  • The challenge was to bring together the various processes spread across the department’s several sub-systems and integrate those business processes into PeopleSoft Lease Administration

The Kastech Solution

Using methodologies from previous Lease Administration and Asset Lifecycle Management (ALM) projects, Kastech’s PeopleSoft Practice team combined onsite Lease Administration consulting expertise with the client’s onsite technical team.

  • Demo and fit-gap workshops: Conducted demo and fit-gap workshops, and built and maintained the client’s business requirements list
  • Data conversion and testing: Designed the approach for data conversion, built test scripts, and conducted system testing
  • Training and cutover: Created training materials, conducted training classes, and created cutover procedures
  • Go-live and post-production support: Assisted with go-live, provided post-production support, and created system reconciliation procedures
  • Knowledge transfer: Provided knowledge transfer to the client’s Business Analysts
  • Approval workflow design: Conducted workshops to build the business process flows and verify the business requirements. The client’s technical team built and configured the workflow models incorporating PeopleSoft’s delivered Approval Framework (AWE)
  • Payment verification worksheet: Designed and created a payment verification worksheet that verified expected payments against actual payments. The worksheet was maintained by the client’s IT department through knowledge transfer, providing the Real Estate Department with the information it needed to validate the new system for both data conversion and lease payments
